What is Apex Automation?▼
Apex is the AI phone receptionist for garage-door companies — one simple plan: $199/mo, flat. Unlimited calls for your shop, no per-minute charges, no overage, no setup fee.
It answers your phone 24/7 (on a dedicated number, or on your existing number via call forwarding), books jobs onto your calendar during the call, quotes ballpark prices from your price list, and records and transcribes every call. If a caller hangs up before booking, it calls them back in about 30 seconds. When a job books, your customer gets an email confirmation with a calendar invite, and you get an instant email + text alert the moment it happens.

How your AI receptionist handles a call▼
Your AI receptionist answers every call to your business line, 24/7 — days, nights, weekends, holidays. On a call it:
- Greets the caller in your business's name and asks how it can help.
- Talks garage-door work — it knows springs, openers, cables, and off-track doors, so it asks the right questions to scope the job.
- Quotes a ballpark range from the prices you set, so the caller gets a real answer instead of 'someone will call you back.' Your tech confirms the exact price on-site.
- Books the job onto your calendar during the call — checking your hours and the caller's address against the area you serve first.
- Transfers to a real person when the caller asks for one, forwarding the call to the number you set for handoffs.
- Calls back in about 30 seconds if the caller hangs up before booking.
Every call is recorded, transcribed, and summarized so you can listen back any time under Dashboard → Calls.
What happens after I sign up?▼
No card at signup. Your 14-day free trial starts the moment you sign up. Here's the flow:
- You land on your dashboard, signed in automatically with the password you set during signup.
- A quick setup wizard walks you through five short steps — about 10 minutes total: your business basics, your phone number (a fresh AI number or forwarding your existing line), your hours, your services + the prices the AI quotes from, and any extra things you want the AI to say. Hit Go live when you're done.
- Your AI line is ready — call it yourself to hear your receptionist answer.
At day 7, 11, and 13 we email you a reminder of where you are in the trial. No charge hits unless you add a card before day 14. At day 14, your subscription either renews to paid (if you added a card) or auto-cancels with no charge.

How do I log in?▼
Go to app.getapexautomation.com/login and sign in one of two ways:
- Email + password — the email and password you set when you created your account.
- Continue with Google — one tap with your Google account, no password to remember.
Forgot your password? Click Forgot? on the login page and we'll email you a link to set a new one.
Keep your login private. Need another person on your account? Email support@getapexautomation.com and we'll set them up.
📞Your Phone Number
New AI number vs. keeping your current number▼
When you set up your AI receptionist, you pick one of two ways for calls to reach it:
Get a new AI number. We give you a fresh local number — you choose the area code. The AI answers it directly. Use it as your main line, or put it on your website, your truck, and your Google Business Profile. Simplest option if you're starting fresh or don't mind a new number.
Keep your current number. You keep the number your customers already know. You set up call forwarding with your phone carrier so every call rolls over to the AI. It's one code you dial from your phone — and one to turn it back off whenever you want. Your number stays yours, and nothing changes on your customers' end.
You choose this on the Number step during setup, and you can manage your number and forwarding later under Dashboard → Voice Agent.
Setting up call forwarding to keep your number▼
If you're keeping your existing number, call forwarding is what sends calls to your AI receptionist. It's a couple of buttons on your phone — no new hardware, no porting. The AI answers every call that comes in, and you turn it on or off whenever you want.
Apex gives you two tap-to-dial buttons on the Number step during setup (and later under Dashboard → Voice Agent):
- Turn my AI on — tap it to dial the forwarding code for your carrier (Verizon, AT&T, T-Mobile, or your provider). That's one code you dial once from your phone, and every call now rings through to your AI. You can tap the button or type the code in by hand.
- Turn my AI off — tap it to dial the cancel code. Forwarding stops and calls ring your own phone again, like normal. Use it whenever you want your calls back — say, if you're covering the phones yourself for a while.
When a caller asks for a real person, the AI transfers them to the number you chose for handoffs — by default the mobile number you signed up with. You can change that under Dashboard → Voice Agent.
Confirm it works: with your AI turned on, call your own business number from another phone. It should ring through to your AI. That's how you know forwarding is set.

How booking alerts + confirmations work▼
When your AI books a job, everyone gets notified automatically:
Your customer gets an email confirmation with a calendar invite (.ics) they can tap to add to Google, Apple, or Outlook calendar — so the appointment lands on their calendar with no extra steps.
You get both an email and a text alert the moment a job books — always immediate. The text comes from Apex's own messaging number, and every booking also shows up on your dashboard under Bookings in real time, so you never miss one.
We never text your customers — their confirmations always come by email. The only texts Apex sends are the booking alerts to you, the owner.
Setting up Google Business Profile▼
Your Google Business Profile (GBP) is the listing that shows up when someone searches your business name on Google or Maps. It's free, takes ~15 minutes, and is the single highest-ROI thing you can do besides Apex itself.
Apex doesn't create the listing for you — only Google can, and they require you to verify ownership of the address. Here's the walkthrough:
1. Go to [google.com/business](https://www.google.com/business/) and sign in with the Google account you want to own the listing (use a business gmail if you have one — easier to hand off later).
2. Search for your business name + address. If a listing already exists (someone else added it, or it auto-generated from public records), claim it. If not, click Add your business.
3. Pick the right category. Be specific — Garage door supplier beats Contractor. You can add secondary categories later.
4. Add your service area (the cities + ZIPs you cover). Check the box that says you visit customers — most trade shops should NOT show their physical address publicly.
5. Verify ownership. Google will offer one of: postcard with a code (5-7 days, most common), phone call, email, or video. Pick whatever's fastest. You can't skip this step — your listing is hidden from search until verified.
6. Once verified, fill in your details: your business phone (the number your AI answers, so calls land in Apex), your website if you have one, hours that match what you set in Apex, at least 5 photos (your truck, your tools, finished work, the team — photos boost rankings significantly), and each service you set up in Apex with the same name + price range.

Where calls, bookings, and leads show up▼
Everything your AI does lands in your dashboard at app.getapexautomation.com/dashboard:
- Home — your at-a-glance view: jobs booked, calls answered, and the value your AI brought in.
- Bookings — every appointment the AI scheduled, on a calendar and a list. Open one to see the details, mark it completed, or reschedule.
- Calls — every call, with the recording, transcript, summary, and how the caller sounded. Tap a call to listen back.
- Leads — callers who reached out but didn't book a job, so you can follow up.
- Voice Agent — your AI's hub: your number and call forwarding, your hours, services + prices, and the things you've told it to say. Edit any of it here.
- Account — your plan, billing, and invoices.
- Settings — your business info, hours, and services.
On your phone, the same sections live in the bottom nav.

Can I change my plan?▼
Apex is one simple plan — $199/mo, flat. There are no tiers to choose between, and nothing to upgrade or downgrade.

How does the 14-day free trial work?▼
Every new Apex account starts with a 14-day free trial. No card is collected at signup. No charge will hit unless you add a card on file before day 14.
During the trial you get the full system — your AI phone receptionist answering calls and booking jobs 24/7. Run it on your real customers — that's the point.
We'll email you at day 7, day 11, and day 13 to keep you in the loop on where you are. Each email leads with 'no charge yet.'
At day 14: if you've added a card, your subscription renews automatically at $199/mo, flat. If you haven't, the subscription auto-cancels with no charge. Your data sticks around for 90 days in case you change your mind.
How do I cancel?▼
During the trial: just don't add a card. The subscription auto-cancels at day 14 with no charge. You can also cancel explicitly via Dashboard → Account → Open Billing Portal or by emailing support@getapexautomation.com.
After conversion to paid: Go to Dashboard → Account → Open Billing Portal and click Cancel. By default, your subscription remains active until the end of your current billing period. No cancellation fees, no contracts.
Your voice agent and dashboard access are paused immediately on cancellation. We retain your data for 90 days in case you reactivate.
How does the refund guarantee work?▼
Free trial: No charge happens during the 14-day trial, so there's nothing to refund. Cancel anytime, no money changes hands.
Paid months: Once your subscription converts to paid, we back it with a 30-day money-back guarantee from your first paid month: if Apex doesn't earn its keep, every monthly fee paid is refunded.

I got an email saying my payment failed▼
Stripe will retry your card automatically per their schedule. To resolve immediately: go to Dashboard → Account → Open Billing Portal and update your payment method. The Service continues running for 14 days while we retry — after that, it may be paused.
🔧Troubleshooting
My AI agent gave a wrong answer▼
Two things to check:
- Update what the AI knows — your AI answers from your business hours, services, prices, and the notes you've given it. If something's outdated, fix it under Dashboard → Voice Agent (or Settings) — your hours, services + prices, and the 'things to tell the AI' box.
- Listen to the call — open it under Dashboard → Calls, find the moment it went sideways, and email the call to support@getapexautomation.com. We'll tune the agent so it handles that kind of question right every time.
Calls are coming in but not converting to bookings▼
Common causes:
- No hours set — go to Dashboard → Voice Agent (or Settings → Business hours) and set your weekly hours. Outside your hours the AI captures the lead but won't schedule.
- No services defined — the AI needs to know what jobs you do and how long they take. Add them under Voice Agent or Settings → Services.
- Out of your service area — the AI checks the caller's address against the area you serve before booking. Callers just outside it show up under Leads instead.

Apex AI runs every voice, coaching, and insight feature in the system — built, tuned, and run by us. Under the hood we partner with leading AI infrastructure providers; the full sub-processor list is in our Privacy Policy. None of your call data is used to train any AI models.
Is my customer data safe?▼
Yes. All data is encrypted in transit (TLS 1.2+) and at rest. We use Postgres Row-Level Security so you can only access your own data. We don't sell data, don't share it for advertising, and don't use it to train AI models. Full details in our Privacy Policy.
